Make sure your summer events are covered

With a heatwave upon us and summer seemingly here, it’s the time of year that clubs up and down the country are starting to hold events.

Whilst fun, these events can be a minefield of risks. From rides, to fireworks, to bouncy castles. However it’s easy to make sure you’re protected against the worst happening, as long as you’re aware and take action.

By taking just a few actions, and keeping your broker and insurers in the loop, you’ll prevent exposing yourself to any potential risk. So our team have pulled together the below simple tips, to make sure that summer event you’re planning goes without a hitch.

Notify us

Make sure we know you’re holding your event. Speak to your dedicated account handler or executive and let them know that you’ve got an upcoming event. Give them an overview of what’s taking place, and how many people will be attending.

This is most important if you expect any more than 250 to attend, but you should let us know about any organised events.

In this instance, your account manager will also be able to offer any advice or guidance related to keeping your risks down and your event insured.

Third Parties

If you have third party suppliers coming on to your premises to operate any activities such as rides, stalls or bouncy castles as a few examples, make sure they have their own insurance! Ask for a copy of their ‘To whom it may concern…’ letter to ensure that they’re properly covered.

Assess the risks

Make sure you’ve done a risk assessment. Consider all the potential risks there may be at an event, make a note of them, and consider how you will minimise these risks taking place. By doing this, you can prove to your insurer that you’ve considered everything that could go wrong, and have managed the risk to do everything in your power to prevent it from happening.

This means that if the worst does happen and something goes wrong, you can demonstrate it’s not through your own negligence.

Be prepared

Take all of these steps well in advance. Don’t leave it to the last minute, when you may not have time to take the actions necessary to protect yourself. By being proactive and organising your insurance well ahead of time, it’s one less stress to worry about on the day!
